The Walkthrough

Step 1: Create Your Workspace Structure

What to do: Sign up at ClickUp and create your workspace. Set up Spaces for major areas of your business (Marketing, Operations, Client Work). Within each Space, create Folders for projects and Lists for task categories.

Why you’re doing it: A clean structure means everything has a home. When a new task appears, you know exactly where it goes. When you need to check status, you know exactly where to look.

What to expect: 30 minutes for initial setup. Start simple — you can always add complexity later. Over-engineering your structure on day one is the #1 mistake.

Step 2: Add Your Current Projects and Tasks

What to do: Move everything out of your head, email, and sticky notes into ClickUp. Create tasks for every active project and to-do item. Add due dates, assignees, and priority levels. Don’t worry about perfection — getting everything captured is step one.

Why you’re doing it: Your brain is for thinking, not for storing to-do lists. Once everything is in ClickUp, nothing gets forgotten and you can see your full workload in one view.

What to expect: 45–60 minutes for initial data entry. This is the most tedious step but it only happens once.

Step 3: Enable ClickUp AI

What to do: Add the ClickUp AI add-on ($7/member/month). Use it to: generate task summaries from long comment threads, write project status updates from your task data, create subtasks from a high-level task description, and draft documents from bullet points.

Use this prompt to break down a project into tasks: Ask Claude: “Break this project into specific, actionable tasks for ClickUp: [describe the project]. For each task include: task name, a one-sentence description of what done looks like, estimated time, and whether it depends on another task being completed first. Aim for tasks that take 30 minutes to 4 hours each — no vague tasks like ‘work on design.’”

Why you’re doing it: The administrative overhead of project management — writing updates, summarizing decisions, breaking down tasks — is exactly what AI handles well. ClickUp AI does this inside the tool where your work already lives.

What to expect: AI features appear throughout the interface — in tasks, docs, and views. Summaries and updates generate in seconds.

Step 4: Set Up Automations and Views

What to do: Create custom views: a Board view for visual workflow (Kanban), a Calendar view for deadlines, and a Dashboard for high-level metrics. Set up automations: when a task is marked complete, notify the team; when a due date is tomorrow, change priority to urgent.

Why you’re doing it: Views show you the right information at the right time. Automations handle the repetitive “move this, notify that” workflow so you don’t have to.

What to expect: 30 minutes. ClickUp has pre-built automation templates for common workflows.

Confidence Level

This workflow is Beta — Based on Best Available Knowledge. ClickUp is one of the most popular project management platforms with a robust feature set and active development.

What to Do If It Doesn’t Work

  • Feels overwhelming: Start with just Lists and Tasks. Ignore Spaces, Folders, Custom Fields, and advanced features until you’re comfortable with the basics.
  • Team won’t adopt it: Pick one project and run it entirely in ClickUp. Success breeds adoption.
